3. DEPUTATIONS
I. Scugog Council for the Arts – Carey Nicholson
Carey Nicholson attended the meeting to inform the BIA of upcoming SCA activities and to see how the two groups may assist each other. Showcase of the Arts will run Nov. 6-8 this year with an opening reception on Friday night, a craft and art sale Saturday and Sunday and a performance at the Town Hall 1873 on Saturday evening. The SCA is working with local B&B’s and restaurants to develop weekend packages. The BIA could participate with window displays, discounts for Showcase ticket holders, etc. A shuttle bus will travel between Queen Street & the arena. New promotion initiatives include a booth at the CNE, applying for a marketing grant, and participating in co-op ads that the BIA is organizing, if possible. The SCA is participating in the Brits on the Lake event by arranging vendors.
4. MINUTES OF THE JUNE 9, 2009 MEETING
RESOLUTION NO: 09-22
Moved by: Bill Minors
Seconded by: Julie Brock
THAT the minutes of June 9, 2009 meeting be approved.
Carried
5. BUSINESS ARISING FROM THE MINUTES
It was mistakenly reported at the last meeting that the BIA had not had any input into the Durham Tourism brochure ad. In fact the ad ran as approved so the BIA will be paying its portion of the cost.
6. REPORTS
i. President’s Report
The weather is looking better and so are the numbers of people on the street and in the stores. I think there are a lot more people coming during the week. We should ask Betty Penny how her cruises are doing as many new visitors might be going on the boat.
We have a new exciting “Brits on the Lake” coming up on Aug. 9 and the Port Perry Star has come on as media partner. We need more businesses to take an active part in this new event and hopefully contribute as a sponsor or as a supporter by donating prizes, etc.
The flower baskets are now looking great so we need to remember to be patient next year. The brackets have delayed, maybe we should just wait until we make the next change and get them installed then.
The street is very dirty, caused by some heavy winds but also caused by merchants and residents not securing their garbage at nights. Do we still have our community partners helping to keep it clean? If we do, I certainly want to know where they are.
I now have a store in Bobcaygeon and their midnight madness is the Saturday of the August long weekend. Haliburton has theirs in July. Might we consider a summer midnight madness to create some extra business?
I hope everyone is enjoying the summer or what is called summer and business is on the climb from now to December.
RESOLUTION NO: 09-23
Moved by: Bill Minors
Seconded by: Michelle Belair
THAT the President’s report for July 2009 be received.
Carried
ii. Treasurer’s Report
Michelle presented current budget figures. We will be close to budget for Moonlight Madness but a final report will be available at the next meeting as some items are still outstanding. It was decided not to pay for advertising in the Canada Business Registry next year, also that we will use the $4000 set aside for movie night for the Brits on the Lake event.
RESOLUTION NO: 09-24
Moved by: Susan Clearwater
Seconded by: Lana Crosbie
THAT the Treasurer’s report for July 2009 be received.
Carried
iii. Advertising Report:
Moonlight Madness:
Another successful night as the streets were filled with people of all ages and the band was fantastic. There was some mention of moving this event to a Friday night. Please share your thoughts. Thanks to all those that participated with a donation for the hourly draws and for those merchants that advertised the event through their website or other advertising media. When we all work together it helps to make our events successful!
COMING SOON…… Brits on the Lake Event: August 9th
Event Sponsors: Port Perry BIA and Port Perry Star. Start preparing your advertising. If you would like to add this event to your website please contact Kenna and she will send you the information. The cars will start to park and fill Queen Street starting at Water Street. They should all be in by 10 a.m. The SCA will have their vendors at the east end of the street closure. Music in Reflection Park will not interfere with the band at the Post Office. The street will be closed east of Menzies to the waterfront. We hope to have 100 cars. An email update will be sent to all BIA members.
Fall Festival: 2009 Date: Saturday, September 26, 2009 mark the date and plan your advertising. To date there are 2 bands booked and at least 8 restaurants ready to participate in a chilli cook-off. There is a meeting scheduled at Queen Beans on Wednesday July 15th at 6:00 o’clock. We would love to see some new faces out to help plan this event! The BIA gave approval for the Museum to borrow our cut-out for its Fall Festival in September.
Christmas Crawl: 2009 Date: Friday, November 20-22, 2009 mark the date and plan your advertising. Please let us know if you would like to be on the planning committee.
RESOLUTION NO: 09-25
Moved by: Birgitta MacLeod
Seconded by: Amanda Jackson
THAT the Advertising report for June be accepted.

iv. Area Development – Susan Clearwater
BENCHES
Apparently there was a mix up as to the contact person for bench issues. The proper contact is Gene Chartier, the Commissioner of Public Works.
FLOWER BASKETS
The flower baskets have now filled in and are looking nice. However next year the BIA looks forward to improved communications in regards to the ordering and placement of the baskets.
BRACKETS
As of the meeting time we have not received approval to go ahead with the brackets yet. Once approved a deposit will be needed in order to initiate the order with Classic Displays.
DOWNTOWN PORT PERRY HERITAGE CONSERVATION DISTRICT STUDY
A working meeting was held on Thursday July 9th on the Heritage Conservation District Study document. This was the last meeting before the document is finalized and presented to Council. It is still uncertain if wheelchair ramps will have to be installed to comply with new accessibility legislation if the downtown receives a Heritage Designation. It is very likely that insurance costs will rise once the designation is passed.
REPORT FROM THE ECONOMIC DEVELOPMENT ADVISORY COMMITTEE MEETING #2 – June 11, 2009
Ms. Bev Hendry
If the Draft of the Official Plan is approved on June 22, 2009, it will go to the Region for a similar process. It is posted on the website and most of the changes to the document were with respect to Parkland which was clearly delineated and there is now a hierarchy.
Mrs. Marlene Werry, Rural ED Officer
Indicated that there is approval from the Rural Economic Development Program to look at accommodation. Sports tourism requires the biggest demand for accommodation; however, overall there is not sufficient demand with the exception of weekends. Based on this lack of demand, the study was stopped after Phase 1. $11,500 is still left on the table which would have been for Phase 2 of the study. Suggestions are encouraged to determine how this money could best be used.
The Farmer’s Market opens June 27th in Palmer Park. The guideline for produce in booths is that it has to be 70% local and the rest from Ontario. It is open from 8 - 12 until Thanksgiving.
MP Mr. John O’Toole
He indicated the following: “UOIT is the lynchpin to the whole Region”. The Durham Economic Prosperity Conference 2008 needed more mention of agriculture since it is Durham Region’s second largest industry. He also suggested the term “agriculture” should be changed to “food production” and “agrivision” since it more accurately portrays it as an industry and would like this be discussed at the next conference. He also indicated that he didn’t know where the jobs were going to come from with the “social fallout of the automobile industry”. He said he didn’t know who would be adding value to the job market in the future.
Councillor Bobbie Drew
The booth at the CNE to market a “daycation” in North Durham (Brock, Scugog and Uxbridge) is 75 feet of frontage in the Arts and Crafts Building. Each Township has 25 feet. 25 volunteers are needed to man the booth and free CNE passes and parking will be provided. A 52 page booklet produced by Scugog Standard identifies local artists, culture and heritage and each Township has 8 pages. Scugog will identify the unique downtown, the Casino, Ocala Winery and Northwood Zoo and Animal Sanctuary.
RESOLUTION NO: 09-26
